Train with Jane is the trading name of Verum Fortis LTD. We are responsible for the personal data we collect and use for Train with Jane services.

The data we collect depends on how you use the website and which service you book or enquire about. It may include:

- the service you are interested in or have booked;
- booking, payment and subscription records;
- class attendance information, messages and practical notes needed to manage bookings;
- health, injury, pregnancy, medication, goal and training information where needed for 1-to-1 personal training, online coaching or safe participation;
- PAR-Q or similar health screening information for personal training clients;
- photos, videos or testimonials where they relate to Train with Jane services or marketing;
- website analytics information such as pages visited, approximate location, device type and referral source, where you have accepted analytics cookies;
- marketing preferences if you sign up to receive updates.
3. How we collect personal data
We may collect data when you:
- send an enquiry through the website contact form;
- book or pay through Stripe;
- email, message or speak to Jane;
- complete a PAR-Q or health screening form;
- attend a class, session or event;
- download a guide or join a mailing list;
- accept analytics or marketing cookies on the website.
4. Why we use your personal data
We use personal data to:
- reply to enquiries and help you choose the right service;
- manage bookings, payments, subscriptions and attendance;
- deliver classes, personal training, online coaching and support;
- adapt sessions where this is needed for safety or suitability;

- send marketing emails or updates where you have opted in or where the law allows this;

- Contract: to take bookings, process payments and provide the service you have requested.

6. Payments and subscriptions
Payments and subscriptions are handled by Stripe. Stripe processes payment data under its own security and privacy terms. Train with Jane does not receive or store your full card details.

7. Website forms and email
Website forms are currently submitted through Web3Forms. Information you send through a form is used to deliver the message to Train with Jane and respond to your enquiry.

8. Analytics, cookies and pixels
The website uses Google Analytics 4 only after you accept analytics cookies. The website is also set up to use Meta Pixel for advertising and measurement if a Meta Pixel ID is configured. Meta Pixel is controlled by the same cookie consent choice and does not load unless optional cookies have been accepted.

9. Marketing
We may contact you with updates, class information, guides or offers if you have opted in, or where the law allows us to contact existing customers about similar services.
You can unsubscribe from marketing emails at any time. Service messages about bookings, payments, safety or schedule changes are not marketing and may still be sent where needed.
10. Photos, videos and testimonials
Train with Jane may use photos, videos or testimonials from classes, sessions or events for website, social media and marketing purposes. We use reasonable care when choosing what to share and will not knowingly share sensitive health information in marketing content without separate permission.
If you have a privacy concern about appearing in photos or videos, please tell Jane before booking or attending.
11. Who we share personal data with
We do not sell personal data. We may share it with trusted providers where needed to run the business, including:
- Stripe for payments and subscriptions;
- Web3Forms for contact form delivery;
- email, website hosting and IT providers;
- Google Analytics where analytics cookies have been accepted;
- Meta, Facebook or Instagram tools if marketing pixels or ads are enabled and accepted;
- professional advisers such as accountants or legal advisers;
- authorities or regulators where we are required to do so by law.
12. International transfers
Some providers may process data outside the UK. Where this happens, we expect those providers to use appropriate safeguards for international transfers, such as contractual protections or equivalent measures.
13. How long we keep personal data
We keep personal data only for as long as needed for the reason it was collected, including service delivery, safety, accounting, legal or dispute purposes.
- Enquiries are usually kept for up to 24 months unless they become a customer record.
- Booking, payment and business records may be kept for up to 6 years where needed for tax or legal reasons.
- Health screening and coaching notes are reviewed and kept only while they remain relevant, unless a longer period is needed for legal, insurance or dispute reasons.
- Marketing data is kept until you unsubscribe or we decide it is no longer useful.
14. Your rights
You have rights over your personal data. Depending on the situation, these may include the right to access, correct, delete, restrict or object to our use of your data, and the right to withdraw consent where consent is being relied on.
